Position Summary
This role reports to the Operations Manager, IFS UK and will play an integral role to provide operational and financial services needed by IFS UK to support the growing demand for IFS (Internal Family Systems) Institutes programs.
The Training Operations/Financial Specialist will support the Operations Manager with the implementation and execution of all IFS UK programming. This role will provide key operational, administrative and financial support to respond to a rapidly expanding community seeking access to and engaging in IFS Institute Programs. The Training Operations and Financial Specialist will engage with the IFS UK team, the IFS UK community and IFS Institute Operations/IT team.
IFS UK was recently acquired by the IFS Institute in the United States. As part of this evolving integration, this role will help support the alignment of systems, processes, and operational practices between IFS UK and the global IFS Institute organization.
The IFS Institute operates as a distributed team that relies on technology, collaboration, and periodic in-person gatherings to stay connected. The ideal candidate is comfortable working remotely, demonstrates strong self-leadership, and thrives in a collaborative and evolving organizational environment. Flexibility in work hours may occasionally be required to support trainings, including limited weekend work.
Key Responsibilities
- Ensure a high level of customer service support to training staff and participants of our training and program offerings.
- Adhere to a calendar of key dates/deadlines for the smooth running of operational work.
- Manage aspects assigned of the maintenance and administrative systems and record keeping for each training
- Partner with the finance team to maintain accurate financial records, including training budgets, payments, and financial reporting.
- Manage the administrative aspects of assembling and overseeing staff teams for trainings and necessary programs.
- Create and disseminate course evaluations and staff CPD letters.
- Collaborate with internal teams including Operations, IT, Finance, trainers, and program staff to support program delivery.
- Provide guidance and coordination with supporting roles such as finance staff, web support, and Zoom technicians.
- Other duties as assigned.
Skills and Attributes
- Established IT skills with Microsoft 365, Google Workspace and zoom
- A strong attention to detail and a high level of accuracy
- Skilled at communicating kindly, clearly, and professionally in written and spoken English
- Experience in the use of AI to enhance the efficiency of administrative processes.
- Experience of working independently, proactively and collaboratively in a global team.
- Ability to attune to and engage harmoniously with a range of personality types, cultures and backgrounds.
Role Requirements
- 3-5 years of relevant administrative experience
- Experience of managing the financial requirements of a business.
- Bachelor’s degree
- Exceptional organisational, time-management, and follow-through skills, ability to prioritise, problem solve and meet deadlines
- High level proficiency with of MS Office products (Word, Excel, Outlook), Google Workspace.
- Experience of working with a CRM system
- Proficient at hosting Zoom meetings
- High level of sensitivity with strong interpersonal and customer care skills
