About the position
Singleton Schreiber, LLP is seeking an experienced and highly organized Practice Group Administrator to support our Fire Practice Area. This role plays a critical part in managing complex, large-scale fire litigation and supporting case teams through all phases of litigation, from intake through trial, mediation, and resolution. The ideal candidate is proactive, detail-oriented, and thrives in a collaborative and fast-paced environment. This is a remote position open to candidates in Pacific or Mountain time zone. SALARY:$85,000-$100,000 annually Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualifications for the role.
Responsibilities
• Provide direct administrative and operational support to a Partner within the Fire Practice Area, serving as a key point of coordination and support
• Provide analysis, guidance, and assessment of case needs, and recommend processes to case teams to achieve desired outcomes at trial, mediation, and/or settlement
• Support attorneys and leadership in managing large, complex fire litigation cases from inception through resolution.
• Track tasks, deadlines, and action items for the Partner and case teams to ensure matters and initiatives continue to progress efficiently
• Provide post-meeting follow-up, ensuring assigned tasks are completed and outstanding items are addressed in a timely manner.
• Coordinate the creation, editing, proofreading, and processing of legal documents, including correspondence, memoranda, pleadings, closing documents, and other practice-specific materials
• Maintain and update legal files both electronic and physical, as required.
• Manage day-to-day litigation support requests and coordinate technical resources, including internal teams and outside vendors
• Audit processes to ensure accuracy, organization, and compliance with internal procedures
• Receive and evaluate communications from clients, opposing counsel, and courts; field calls, emails, and correspondence and convey messages as necessary
• Consult with and support legal teams regarding budgeting, vendor management, document databases, productions, transcript management, and litigation-related technology solutions
• Anticipate needs, manage priorities, and proactively resolve issues on behalf of the Partner and practice group
• Stay current on rules of civil procedure in both state and federal courts, including CM/ECF filing/Pacer and arranging for service of pleadings and subpoenas.
• Identify, track, and manage case-related deadlines using an electronic calendaring system.
Requirements
• Minimum of 5+ years of law firm experience preferred
• Experience managing cases from “cradle to grave,” particularly in mass tort, fire, or complex litigation
• Prior experience supporting senior attorneys or partners in an administrative or executive support capacity strongly preferred
• Strong organizational skills with exceptional attention to detail
• Excellent written and verbal communication skills with a professional demeanor
• Ability to manage multiple priorities, exercise sound judgment, and follow through independently
• Ability to recognize confidential, sensitive, and proprietary information and maintain strict confidentiality
• Strong computer proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), document management systems, and related office technologies
• Knowledge of applicable laws, legal codes, court procedures, and agency rules relevant to the assigned practice area
• Availability to support teams working in the Pacific and Mountain time zones
